After the TVA receives a voice message for a user it
then sends an E-Mail notification to the user or attaches the
voice mail to the Email. This feature is simple Unified Messaging which is now a standard feature on all TVA products
and can be used even on the KX-TA824 or KX-AW848 product line,
as well as the KX-TD Digital or KX-TDA Digital line. When this
feature is used with a KX-TVA50 you must install an optional LAN
interface card. The LAN interface card is built into the KX-TVA200
so no additional hardware or software is required.
Interactive LCD Voice Mail Menus
When the KX-TVA product is added to a KX-TDA phone system
the telephone displays are interactive with the KX-TVA voice Mail.
As a unified platform these products work together to share information
including routing information and telephone key and display operations.
The added benefit to an end user is clear as day; no longer do
they need to remember all the key codes to handle voice messages.
When a user calls the voice mail to retrieve their messages
the voice mail provides the appropriate screen display for the
user to select a function. The displays are not accompanied by
audio prompts which speeds the retrieval of messages for a user.
Below
is an example showing the main voicemail message screen. In this
screen you have the option to Receive Messages, Deliver a message,
Check Distribution or Check the status of the Automated Attendant.
To receive your message scroll to Receive Msg. and press the enter key which brings you to the next screen.
|
The
screen below shows that Allen Anderson called and left a message.
The caller ID information is captured and stored with the message.
How many times have you played back a Voice Mail Message that
was 5 minutes long waiting for the call back number only to have
to replay the message again to capture the telephone number? Now
the message is clear.
Another
great example of how easy it is to use the voice mail features
is shown below. Setting a personal greeting for any of the modes
available is just a push of the button. It’s that simple!
There are many other functions that can be performed
using the LCD integrated voicemail menu.
Notes:
This feature will only work on Panasonic proprietary LCD display
telephones (KX-T7630, KXT7633, KX-T7636, KX-NT136.
The Voice Mail Menu feature requires KX-TDA 100/200 systems equipped with software version 2.01 or higher or KX-TDA50 with software version 2.0 or higher. |
Custom
Service Builder
Perhaps
one of the hardest and most time consuming issues you face when
installing a voice mail system is configuring the system for menu
dialing. An example of this would be to create a menu for reaching
different departments within a company. Dial 1 for sales, 2 for
marketing, 3 for service, etc. To simplify and speed installation
of creating these applications with visual references we have
designed a drag and drop programming interface. As shown in the
example below this allows you to drag menus onto a screen and
connect the dial by number item to the next menu step.
|
Custom Service Enhancement
Beyond
the simple-to-use custom service tool we have added four new types
of Custom Service functions for a total of five. The administrator
can create applications freely combining these functions with
the Custom Service Builder. The five custom services are:
(1)
Menu & Transfer
Menu
& Transfer service allows the administrator through programming
to route callers to specific destinations based on the DTMF digits
dialed.
(2)
Day Control
The
Day Control routes callers to different services based on the
day of the week or the day as a holiday.
(3)
Time Control
The
Time Control type routes callers to different services based on
the time of day.
(4)
Date Control
The
Date Control type routes callers to different services depending
on the date.
(5)
Password Check (Pin Number Routing)
The stored password can be up to 12 digits long. When
a caller hits a menu that has this password pin entered the caller
must enter the pin number to proceed to the next menu tier or
go to a predetermined destination. Just think of the possibilities
of this feature.
Transfer-to-Custom Service Option
In the mailbox settings under “Call Transfer Status”,
“Incomplete Call Handling Service Busy” and “Incomplete
Call Handling Service No Answer”, we have also added the
ability to route callers to a specific custom service.
Windows-Based Administration
Now you have the ability to program or make changes
to the system from a user friendly windows based software program.
The Administrator has several convenient options to program and
maintain the KX-TVA Voice Processing system. The Windows based
programming tool is included in the box with the product. To connect
to the system you can use the built-in USB port, RS-232C or (Internal
Modem) or connect to the voice mail utilizing your Local or wide
area network. You can also program the system off line and then
download it at another time to the KX-TVA systems.
Timed
Reminder Setting
Subscribers
can now set a timed reminder and confirm the timed reminder setting
from the subscriber service. Subscribers can do the following:
· Set the time and Mode Hour:1-12,
Min:00-59, AM/PM,
· Cancel the timed reminded
· Review Current Setting
Mailbox Control by PBX for PMS
For Hotel/ Motel installations, now the front desk can
delete messages and change the Class Of Service Number of a specified mailbox using a Panasonic proprietary
telephone.
Hold Announce Menu
When a second caller is in queue to a busy extension
the voice processing system will play a message recorded from
the voice mail to this caller. The administrator can record the
messages into Hold Announce Menu or import custom music WAV files.
Increased
Quantity of Members for Distribution List
In
comparison to the KX-TVS voice processing systems we have increased
the members of the distribution lists as follows:
· Personal Distribution List has
been increased from 20 to 40 members
· System Mailbox Group has been
increased from 40 to 100 members ¾ System Extension Group has been
increased from 40 to 100 members
Play Owner's Name During Transfer
When this feature is enabled callers that are transferred to an extension will hear the following message, “Transferring you to <recorded name>”. This feature can be enabled or disabled through the Automated Attendant setting. |
Report Enhancement
The Administrator can generate various system reports
in order to monitor VPS operations. Reports can be displayed on
a PC, printed or exported. Below is a list of all the reports,
the new reports that were added to the KX-TVA are marked with
a (*).
· Mailbox Information Report
· Custom Service Report
· Call Account Report
· Message Status Report
· Port Usage Report
· Subscriber Setup Report
· HDD (Memory) Usage Report
· Security Information Report
· Mailbox Usage Report
· Hourly Statistic Report
· Fax Call Report
· E-mail Report
· Call Handling Statistic Report
Samples of the reports are shown below:
|
Files
can be exported to Crystal reports, Excel, CSV File Format, PDF
File format, Fox Pro as well as many other formats as shown below:
And as an added note all of these functions can be performed
through a LAN based connection meaning you can get them almost
anywhere. Simplicity and performance at its best!
Backup
and Restore Messages in Mailboxes
The
System Administrator can backup and restore messages in mailboxes
using the windows based programming tool from the administration
log in level.
Urgent Message
A message that is left for a user can be marked as Urgent.
When a user listens to their messages, urgent messages will be
given priority over other messages in the mailbox (i.e., they
will be played first) when "First Playback Urgent Messages"
is set to "Yes" for the subscriber's Class of Service
(COS).
Auto
Receipt
When the user listens to a message sent from another
user within the system, the sender will receive an automated “receipt”
that says “<Mailbox Name> has received your message.”
Auto receipt can be enabled or disabled in the class of service
settings.
Message
Auto Play
After a user gains access to their voice mail box and starts to play new messages, the new messages will be played from the first message to the last message without any additional input from the user. |
Message Length
The KX-TVA system can tell the user the total time of
all new messages when they enter their mailbox. The message will
say “You have new messages for fifteen minutes.” This
feature can be enabled or disabled in the class of service settings
New
/ Old / Deleted Message Box and Message Recovery
Subscribers
have three message boxes: New, Old, and Deleted. Subscribers can
select the box in the receiving messages menu. The prompts are:
· To listen to new messages, press
1
· To listen to old messages, press
2
· To listen to deleted messages,
press 3
New Message Box
New Message Box contains only new messages that have
not been listed too. After listening to the messages they are
automatically moved to the Old Message Box. New message retention
time can be set for 1 to 30 days and is established in the class
of service settings.
Old Message Box
The Old Message Box contains messages that were listened
to and not deleted. Old message retention time can be set for
1 to 30 days and is established in the class of service settings.
Deleted Message Box
This message box contains all messages that were deleted
by the subscriber. Deleted messages remain in the Deleted Message
Box until the end of the following day. This allows subscribers
time to recover accidentally deleted messages the day they were
deleted.
Play
Message Envelope
The message envelope is a short voice prompt describing
message date and time, name of the person who recorded or transferred
the message, as well as the telephone number of the caller. Subscribers
can select when the message envelope is heard by
Before: The VPS announces Message
Envelope before playing the recorded message.
After: The VPS announces Message
Envelope after playing the recorded message.
On Demand: The VPS announces Message Envelope when it is required by the DTMF command. |
Bookmark
Users
can set and bookmark messages. When a user returns to the message
with the bookmark, the message begins from the point of the bookmark.
Variable Playback Volume / Speed
Users can change playback volume or playback speed while
listening to prompts or messages. This is a really nice feature
for people calling in from a cell phone between customer visits.
Playback Pause
Users
can stop the message being played at any time. This operation
can also be performed with the soft key operation on LCD telephones.
Temporary Personal Greeting
A Temporary Personal Greeting can be recorded to advise
callers that the called person is away from the office (business
trip, vacation, etc.). This greeting overrides all other personal
greetings. Every time a user accesses their mailbox after turning
on the Temporary Personal Greeting, they will be asked whether
they want to turn the Temporary Personal Greeting off. When they
turn off the Temporary Personal Greeting, the greeting is automatically
deleted from the system.
Call Handling for No Answer / Busy
With
the KX-TVA you can now establish Call Handling for Busy and No
Answer separately.
Improvement of Broadcast Message
Users are no longer required to listen to broadcast
messages first. In addition, broadcast messages will now turn
on the message waiting lamp on the telephone.
Improved Name Directory
The
name directory feature has been improved as follows:
Name
Directory Mode
The
administrator can choose whether the dial-by-name directory is
set up based on first name, last name, or both.
List
All Names Option
A new option has been added that will announce the name
and extension number of the subscribers to the Automated Attendant
Service and Custom Service.
Mailbox
Capacity Warning
The KX-TVA has a mailbox capacity warning. The parameters are set in class of service setting and they are: [1 to 60 Minutes/ None. |
